Part Time Administrative Assistant
Job Description
The Administrative Assistant is a part-time position responsible for providing a wide range of administrative support to the school's Main Office. The successful candidate must have a positive attitude, be self-motivated, detail oriented, and able to manage multiple tasks simultaneously. The responsibilities of this position include, but are not limited to:
Principle Duties and Responsibilities:
General Administrative
• Answer and route phone calls
• Sorts and distributes incoming mail
• Processes student transcript requests
• Assists in the coordination of mass mailings to all school families
• Assists in admitting and direction of all visitors to the building
• Assists in overseeing the work of the student office workers
• Operate cash register during student lunch hour.
Skills and Requirements:
• Effective written and verbal communication skills
• Excellent organizational skills and attention to detail
• Proficiency in database management and MS Office (Word, Excel, Outlook)
• Bachelor’s degree and at least one year of experience as an administrative assistant
• Bi-lingual (Spanish Speaking Required)
• Experience operating a cash register (Preferred)

Full Time Development Assistant
• Provide administrative support for the Development Office and President
• Develop and manage donor database: update constituent information (alumni, donors, and friends of school), input new information, contacts, and donations, prepare reports for Development team members
• Track and maintain prospective student data
• Coordinate mailings of appeal letters and gift acknowledgement correspondence
• Work with Board of Trustee Committees: maintain and update Board roster, collect agenda and reports for meeting packets, attend Board meetings, take and prepare minutes
• Provide assistance to Director of Recruitment by answering calls and addressing requests
• Assist in preparation of Annual Report and other inter-office publications
• Support fellow development office members with special events, mailings, committee meetings, and other projects as needed
Job Description
General Administrative (including, but not limited to)
• Answer and route phone calls
• General typing and mail merges
• Maintain office supplies (letterhead, copier paper, fax paper, etc.)
• Order all printed materials (letterhead, envelopes, business cards, note cards, etc.)
• Proofread and edit all office materials generated by members of the Development Office
• Provide general support to the Development Team
• Donor Database - Raiser’s Edge 7.0
• Enter gifts, send acknowledgements, generate pledge reminders and invoices
• Maintain quality of database (address changes, etc.)
• Generate a variety of mailing lists for campaigns and events
• Enter new constituent information (graduates, new parents, prospects, etc.)
• Generate reports from database as requested
• Assist in the Annual Report process by maintaining an up-to date donor database
• Work with Business Office on reconciling monthly Stewardship Reports
• Provide support for scholarship programs
Board of Trustees Support
• Prepare agenda for all Board and committee meetings, serves as recorder, prepares and distributes the minutes for these committee meetings.
• Sends meeting reminders, prepares/send packet of materials, buys food, arrange logistics
• Maintain listing of committee meeting dates as well as all board member contact information and distribution lists
• Confirm participation in all committee meetings
Recruitment
• Answer and route admission inquiry phone calls
• Maintain Excel spreadsheet with prospective student information collected at grade school visits
• Mail follow-up letters to parents after grade school visits
• Maintain recruitment brochures with appropriate insert
• Assist with mailings as needed
• Attend Recruitment events as needed (Open House, Entrance Exams, Registrations, etc.)
• Assist with Shadow Days as needed
• Assist with translating materials (forms, applications, etc.).
Special Events
• Attend all Development Office sponsored events as requested
• Provide support as needed for all special events and activities
Skills and Requirements
• Excellent organizational skills and attention to detail
• Proficiency in database management and MS Office (Word, Excel, Outlook, and PowerPoint)
• Associates Degree and at least 3 years of experience as an administrative assistant or Bachelor’s degree and at least 1 year of experience as an administrative assistant
• Experience in non-profit Development is preferred
• Proficiency in Raiser’s Edge a plus
• Bi-lingual (Spanish Speaking Required)
